  • Maintaining and improving our website, understanding website usage and administering consent preferences.

  • Meeting legal, accounting, insurance and other legitimate business obligations.

We do not intend to collect more personal information than is reasonably necessary for these purposes.

5. Health and Fitness Information

Health and fitness information is handled with particular care because it may include sensitive information.

We use relevant information to assess exercise suitability, understand training limitations, plan or deliver appropriate exercise services and maintain relevant client records.

Paper-based health questionnaires are stored as hard copies in a locked area at our gym. Consultation notes may be uploaded to a restricted Google Drive folder. Access to these consultation records is limited to Harley Curry and Eve Moon.

We may also store relevant training information and progress records within HubFit and other systems used to deliver our services.

We do not use health information for direct marketing unless permitted by applicable law and any required consent has been obtained.

Our fitness services are not a substitute for medical diagnosis or treatment. Clients may be asked to obtain medical advice or clearance where appropriate.

6. Third-Party Platforms and Service Providers

We use third-party platforms to operate our website, manage client information, deliver services and process payments. These currently include:

  • Wix: Website hosting, website forms, customer relationship management and related website functions.

  • HubFit: Online coaching, training programs, client accounts, workout tracking and progress records.

  • Schedulista: Appointment scheduling and appointment reminders.

  • Stripe: Payment processing and related transaction administration.

  • Google Drive: Storage of consultation notes and relevant business records.

  • Google Analytics / Google Tag: Website measurement and analytics, subject to the integrations and consent settings enabled on our website.

These providers may process personal information on our behalf or in accordance with their own privacy policies and service terms. Their handling of information may be subject to their own security, retention, disclosure and international processing arrangements.

We do not knowingly sell clients' personal information.

HubFit

HubFit may hold information submitted through the coaching platform, including training plans, workout records, progress photographs and personal metrics. HubFit's published privacy information describes restrictions on access to client information, but we have not independently verified every aspect of its data storage locations or subcontractor arrangements.

When a client stops using our coaching service, their HubFit account may be archived. Archiving removes the client's active access but may preserve previous records so that the account can be reactivated if they return. Clients may contact us to request deletion, subject to applicable legal obligations and legitimate retention requirements.

Schedulista

Schedulista holds appointment-related information such as client names, email addresses and telephone numbers to support scheduling and reminders. Its published privacy policy describes circumstances in which information may be shared with service providers and other recipients.

Stripe

Stripe processes payment and transaction information. Stripe may process information internationally and may disclose information where required or permitted by law. Its privacy policy is available at https://stripe.com/privacy.

Google services

Google services may process website usage and technical information in accordance with the relevant Google service terms and privacy policies. Our Google Tag is configured through Wix with Basic Consent Mode, and Wix indicates that data is sent to Google only when site visitors give consent. We have not independently audited every tag or event on the live website.

We may update this section if our service providers or integrations change.

7. Overseas Processing and Disclosure

Some of our service providers operate internationally or may store or process information outside Australia.

Wix advises that personal information may be processed or stored in multiple countries, potentially including the United States, Israel, countries in Europe, India, Brazil, Mexico, Ukraine and other locations, depending on the services used.

Stripe may also process information internationally, including in the United States and other countries in which it or its service providers operate.

We have not independently confirmed all countries in which HubFit, Schedulista, Google Drive and Google services may process or store information relevant to Gravity Fitness.

Where applicable, we take reasonable steps to address overseas handling of personal information in accordance with Australian privacy requirements. We may update this policy as further information about provider locations and processing arrangements becomes available.

8. Website Cookies, Analytics and Consent

Our Wix website may use cookies and similar technologies to support website functionality, remember preferences, understand website usage and measure website performance.

We currently use a Google Tag with the ID prefix G-, associated with Google Analytics-style measurement. Wix indicates that our Google Tag is configured for Basic Consent Mode, so data is only sent to Google if visitors give consent.

We have also added a cookie consent banner to our website to provide visitors with information and choices about cookies and similar technologies.

The actual information collected and the operation of consent controls depend on the website configuration, the technologies enabled and the visitor's choices. We do not claim that every third-party technology has been independently audited or verified to be blocked before consent.

We have disconnected Meta Pixel and Meta Conversions API from our Wix website. If we introduce additional tracking technologies or change our integrations, we may update this policy accordingly.

You can manage cookie preferences through the consent controls available on our website and can also adjust cookie settings through your browser. Blocking some cookies may affect website functionality.

9. Marketing and Service Communications

We may contact clients about bookings, appointment reminders, account setup, service administration, billing, changes to services and other necessary operational matters.

We may also send optional newsletters or marketing communications to people who subscribe or where otherwise permitted by law.

You can opt out of marketing emails by using the unsubscribe mechanism provided or by contacting us directly. Opting out of marketing will not prevent us from sending necessary service or transactional communications.

We do not use sensitive health information for direct marketing without the consent required by applicable law.

10. Storage and Security

We store personal information in electronic systems and, where necessary, in physical records.

Our current practices include:

  • Restricting access to consultation notes in Google Drive to Harley Curry and Eve Moon.

  • Keeping paper-based health questionnaires in a locked area at the gym.

  • Using third-party platforms to manage bookings, payments, website information and online coaching records.

  • Limiting access to personal information to those who need it for business operations.

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. However, no electronic system or method of storage can be guaranteed to be completely secure.

If we become aware of an eligible data breach, we will respond in accordance with applicable legal requirements.

11. Retention of Information

We retain personal information for as long as reasonably necessary for the purposes for which it was collected, including service delivery, record keeping, business administration, legal obligations and legitimate business needs.

Our current practice is to retain certain client records after a client stops using our services because they may return. This can include information held in Wix, Stripe and Schedulista. HubFit accounts may be archived rather than deleted.

We do not currently have a single fixed retention period for all categories of client information. We may review our retention practices and securely destroy or de-identify information that is no longer required, subject to applicable legal, accounting, insurance and other obligations.

You may request deletion of personal information, but we may need to retain some information where required or permitted by law or where a legitimate retention reason applies.

12. Accessing and Correcting Your Information

You may request access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.

To make a request, contact us using the details in Section 17. We may need to verify your identity before responding.

We will respond within a reasonable period and in accordance with applicable law. In some circumstances, we may be unable to provide access to particular information or may need to retain certain records.

13. Privacy Concerns and Complaints

If you have a concern about how Gravity Fitness has handled your personal information, please contact us first so we can investigate and respond.

We will consider your complaint and aim to respond within a reasonable period.

If you are not satisfied with our response, you may be able to contact the Office of the Australian Information Commissioner (OAIC):

14. Third-Party Websites

Our website may contain links to third-party websites, platforms or services. When you leave our website, the privacy practices of those third parties apply.

We are not responsible for the privacy practices, content or security of external websites. We encourage you to read their privacy policies before providing personal information.

15. Children

Gravity Fitness's gym and training services are intended for adults. We do not knowingly collect personal information from children through our services unless this is appropriate and lawful in the circumstances.

If you believe a child has provided personal information to us inappropriately, please contact us so we can review the matter.

16. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes to our services, systems, privacy practices or legal requirements.

The latest version will be published on our website with its updated date. We encourage you to review it periodically.
